This policy explains what data Recepvox handles, why, how long it is kept and who it is shared with. It is written from what the system actually does; if the system changes, this page changes first.
Current status: the service is in a testing stage. Today no real phone calls are received, no real messages are sent and nothing is charged.
1. Who we are and who this applies to
Recepvox is a service of [EMPRESA] LLC (Tampa, Florida, United States). We give customer-facing businesses an assistant that serves their customers, takes orders, appointments and reservations and passes them to the business.
This policy applies to three groups:
- Visitors to this website.
- Businesses that use the service (our customers).
- End customers: people who call or message a business that uses the service.
For group 3, the data belongs to the business. We handle it on the business's behalf and only to provide the service, much like a phone provider does. If you have questions about your data, you can ask the business or us.
2. What data we handle and why
2.1 Website visitors
- We do not use tracking cookies, advertising or third-party analytics tools. We only count, on our own server and with no personal data, how many visits and clicks the site gets per day (for example, how many people open a question or play a sample call). We do not store IP addresses or anything that identifies a visitor.
- Microphone trial call. If you use the voice trial, your own browser turns your voice into text (in Chrome and Edge, with the browser’s speech recognition service; in Safari, with Apple’s). We do not receive or store your voice: we only receive that text, which is handled just like what you type in the trial chat (see the "Site trials" point). The assistant answers with recorded phrases, and we also count, with no personal data, that a trial call took place.
- The site stores only preferences (for example, language) in your own browser. They do not leave your device.
- The server records basic technical data (IP address, browser, time) to operate and protect against abuse, for example to limit how many test messages are sent per hour.
- Site trials. If you try the site's sample chat or call, what you type or say is used to answer you in that conversation with sample businesses. We also store it without your name, phone number, email or address to review where the assistant makes mistakes and improve it. It is deleted after 35 days. We do not store the audio: your browser turns your voice into text (in Chrome, with Google's service) and we only receive the text. In these trials only our own assistant answers: nothing is sent to artificial intelligence providers.
2.2 Businesses
- Business name, address, hours, menu and prices, tax, how customers are served, and the contact person's details (name, phone, email). Why: to set up and provide the service, support it and share updates.
- Questions sent to us during setup and our answers.
- Usage figures (number of calls and orders) for the usage meter and the invoice.
- Billing data: payments are handled by Stripe; we do not see or store card numbers.
- Screen sharing: only if the person accepts it for that session and chooses which window to show. It is not recorded or stored.
2.3 End customers
- What the transaction needs: name, phone number, what was ordered, date and time and, if needed, the delivery address or an allergy the person mentioned.
- The conversation, to understand and answer. The stored transcript has the name, phone number, email and address masked.
- Audio: today the system does not store call audio. At the start of every conversation the assistant announces that it may be saved, as Florida law requires.
- We do not use voiceprints or any biometric data, and we do not identify anyone by their voice.
- Why: to take the order, appointment or reservation, show it to the business, send the person the tracking link and the "ready" notice, and take a message when they ask to speak with someone.
- The business can see whether a phone number has ordered before at that same business ("regular customer"). Data is never combined across different businesses.
We do not sell data, use it for advertising or build profiles.
3. How long we keep it
| Data | Period |
|---|---|
| Conversation transcript (with personal data already masked) | Deleted after 35 days |
| What is typed or said in the site trials (without name, phone number, email or address) | Deleted after 35 days |
| Name, phone number and address on an order | Deleted after 90 days; the order remains without personal data for the business's statistics |
| Opt-out request ("STOP") | Until the person asks to receive messages again; stored as an encrypted fingerprint, not the phone number |
| Data of a business that leaves | It may request a copy within 30 days; after 90 days what remains is deleted, except what the law requires us to keep (for example, invoices) |
4. Who we share it with
Only with the providers the service needs to work, and only what each one needs. Today, in the testing stage, none of these providers is connected; this is the list that will be used.
| Provider | Purpose | What it receives |
|---|---|---|
| Google (Gemini API, paid service) | Understanding what the person says when automated rules are not enough (never in the site trials) | The conversation text |
| Google Cloud (voice) | Turning the answer into speech | The text the assistant says |
| Telephony and SMS provider | Receiving calls and sending text messages | The phone number and call audio, the message text |
| WhatsApp (Meta) | WhatsApp notices | The phone number and the message |
| Stripe | Charging the business's subscription; order payments through the business's own account | Billing data; we do not see the card |
| Server and website provider | Storing and running the system | The data above, encrypted in transit |
- Under Google's terms for the paid Gemini API, what is sent is not used to train its models.
- We may disclose data if a law or court order requires it, and only what is requested.
- If the company ever changed ownership, the data would remain protected by this policy, and we would give notice first.
5. Text messages (SMS) and WhatsApp
- We only message someone who gave their number for an order, appointment or reservation, and only about that transaction: a confirmation with a tracking link and a "ready" notice. We do not send advertising, and the business cannot upload phone lists.
- To stop receiving messages, reply STOP. The opt-out is honored immediately for that business. For help, write to [email protected].
- Message and data rates from your carrier may apply.
- Your phone number and your consent to receive text messages are not shared with third parties or affiliates for marketing or promotional purposes.
6. How we protect data
- Encrypted connections (HTTPS) on the published site and with providers.
- Key-based access; each business sees only its own data. Keys are stored protected, not in readable form.
- Usage limits to prevent abuse and browser protections against common attacks.
- Personal data masked in transcripts and deleted automatically (section 3).
- If personal data were accessed without authorization, we would notify the affected people and the appropriate authorities within the periods set by Florida law (Statute 501.171: up to 30 days).
No system is 100% secure; we do what is reasonable and review it often.
7. Your rights
By writing to [email protected] you can ask us to:
- tell you which data we hold about you;
- correct it;
- delete it, except what the law requires us to keep;
- stop sending you messages (also by replying STOP).
We answer within 30 days. If your data came through a business, we may coordinate the answer with it. If you live in a state with its own privacy law, you may also exercise the rights that law gives you, and we will not treat you differently for doing so.
8. Children
The service is for businesses and is not directed to children under 13. We do not knowingly collect data from children under 13; if we learn it happened, we delete it.
9. Health data and payments
- The service is not designed for health data and is not offered to clinics or medical offices.
- The assistant never asks for card numbers. If someone reads one out, it is masked in the transcript.
10. Changes to this policy
If we change it, we publish the new version with its date on this page and, if the change is significant, notify businesses 30 days in advance.
